Purchase return / debit note

Return goods to a supplier with a Tally-style debit note — stock leaves the original batch, tax reverses, and the supplier balance settles.

Quick steps

  1. 1

    Open the confirmed purchase

Start a return against the original confirmed purchase you're sending back from.

  2. 2

    Pick items to return

Select the products and quantities being returned (and exchange items, if swapping).

  3. 3

    Choose settlement

Pick how it settles — Adjust supplier dues, Cash refund, Bank refund, or Credit with supplier (advance); or exchange for other goods.

  4. 4

    Post the debit note

Storeflea creates a Debit Note voucher: stock leaves the origin batch and tax reverses.

When goods go back to a supplier — damaged, wrong item, excess — you record a purchase return. Storeflea does it the Tally-faithful way with a Debit Note so your stock, tax and supplier balance all stay correct.

Linked to the original purchase

A return is raised against a confirmed purchase, so Storeflea knows exactly which lot the goods came from. Stock is deducted from that origin batch (not just "somewhere"), keeping batch/expiry accurate. The accounting legs flip versus a purchase, and input GST reverses.

How the return settles

Pick how the value comes back — four settlement modes:

  • Adjust supplier dues — reduce what you owe the supplier (against outstanding).
  • Cash refund received — you got the money back in cash.
  • Bank refund received — refunded to your bank.
  • Credit with supplier (advance) — leave it as an advance/credit with the supplier for future purchases.

Refunds are outstanding-aware — Storeflea won't let a refund exceed the balance that actually exists, so the ledger can't go wrong.

Or exchange

Instead of settling in money, you can exchange — send back the goods and receive different items in their place, in the same flow.

Why not just edit the purchase?

Editing hides history. A debit note keeps both the original purchase and the return on record — auditable, and correct for GST (it maps to CDNUR/CDNR where relevant in your returns).

This mirrors a sales credit note on the customer side; here the document is a debit note to the supplier.

Frequently asked

How do I return goods to a supplier in Storeflea?

Raise a purchase return against the original confirmed purchase, pick the items and quantities, and choose how it settles — Adjust supplier dues, Cash refund, Bank refund, or Credit with supplier (advance). Storeflea posts a Debit Note: stock leaves the original batch and input GST reverses, keeping books and inventory correct.

Can I exchange a purchased item instead of just returning it?

Yes. A purchase return supports exchange — send back one item and receive another in its place — as well as reducing the supplier payable or taking a refund (refunds are capped by the outstanding balance).
