Record a purchase
Enter stock you bought from a supplier — items, quantities, batches and tax — so inventory rises and the supplier's payable is tracked.
Quick steps
- 1
Open Purchases → New
Start a new purchase.
- 2
Choose the supplier
Pick or add the supplier (name, and optionally GSTIN, phone, address).
- 3
Add items and quantities
Enter each product, quantity and purchase rate; record batch/expiry where tracked.
- 4
Set payment
Default is Udhaar (credit → supplier payable); or choose Cash / Online and pick the money account.
- 5
Confirm or save as draft
Keep 'Confirm immediately' to commit stock now (Save & Confirm), or uncheck it to Save Draft and confirm later.
Recording purchases keeps two things honest: your stock (what you actually have) and your payables (what you owe suppliers). It's the mirror image of billing.
What it updates
- Inventory — quantities go up; if the item tracks batches/expiry, you enter the lot and expiry here, and they flow into billing and transfers later.
- Supplier ledger — a credit purchase adds to what you owe that supplier.
- Books — the purchase and its GST (input tax) are posted for you.
Paid or on credit
The payment choice mirrors billing — Udhaar (credit) is the default:
- Udhaar (credit) — the amount becomes a payable on the supplier's ledger, settled later with a supplier payment. (This is the default.)
- Cash / Online — paying now; pick the money account it came from (your Cash, Bank, UPI, Card or Wallet account).
Confirm now or save as a draft
Before saving, you choose whether to commit stock:
- Save & Confirm (default) — Confirm immediately commits inventory and posts the books right away.
- Save Draft — uncheck Confirm immediately to keep it as a draft you review and confirm later (stock isn't committed until you confirm).
Drafts are useful when you're entering a bill you'll verify against the goods first.
Multi-shop
Purchases add stock to the shop/godown you record them against, so a godown can receive bulk stock that branches later draw from via transfers.
Bought something and then returned part of it? Use Purchase return / debit note rather than editing the original purchase.
Frequently asked
How do I add stock I bought from a supplier in Storeflea?
Record a purchase: choose the supplier, add the items, quantities and rates (with batch/expiry if tracked), and mark it paid or on credit. Inventory increases, input GST is posted, and a credit purchase adds to the supplier's payable ledger.
Does recording a purchase update my supplier's outstanding?
Yes, when it's on credit. The purchase amount becomes a payable on that supplier's ledger, which you later settle with a supplier payment. A paid purchase instead posts to the cash/bank account you chose.
